Front Office Administrator

About the position:

We are seeking a motivated and organized Front Office Administrator to be the welcoming face and key point of contact for Halifax Dance. The FOA plays a critical role in ensuring a seamless experience for our customers, staff, and community members. You will oversee front desk operations, manage customer inquiries, and support the administrative, artistic, and marketing teams. This position reports directly to the Executive Director and works collaboratively with other directors to deliver exceptional service.

 

Responsibilities:

Customer Relations and Service

  • Deliver fast, courteous, and professional service in person, by phone, or email.

  • Foster a welcoming, friendly atmosphere for customers, staff, and visitors.

  • Guide customers in selecting the right classes and programs.

  • Address inquiries, concerns, and complaints, ensuring timely and satisfactory resolutions.

  • Record incidents, maintain safety protocols, and monitor studio security.


Information & Database Management

  • Maintain accurate and up-to-date class registrations, pricing, and contact details in the database.

  • Ensure account information aligns with the accounting system and protect confidentiality.

  • Book all studio rentals and manage the online booking system including Company in Residence bookings and usage. 

  • Prepare and reconcile daily sales summaries and weekly bank deposits.

  • Manage payment plans, merchandise inventory, and monthly account collections.


Personnel Supervision

  • Train, supervise, and schedule part-time front office staff.

  • Ensure team members are equipped to respond effectively to customer inquiries.


Office/Facility Administration Support

  • Oversee office supplies and equipment.

  • Manage birthday party bookings, including scheduling and staffing.

  • Assist with key events, including fundraisers and performances.


Other Information:

This position is approximately 20-30 hours weekly requiring availability on weekday evenings and Saturdays. Salary $17-19/hour based on experience.

About you:

Education High school diploma required (Business Administration diploma preferred).

Experience Proven customer service experience is essential.

Skills You are self-motivated, detail-oriented, and capable of multitasking. Strong written and verbal communication skills are a must, along with proficiency in Microsoft Office and Google Suite. Familiarity with database management is an asset.
